Western Illinois Chapter of Delta Upsilon Alumni Chapter/Undergraduate Executive Board Meeting February 10, 2007 Parkside Sports Bar and Grille I. State of the Undergraduate Chapter – Kevin (President of the Undergraduate Chapter) · 12 people in the house currently · Going to start working on signing contracts for the house in March. Looking at at least 14 people who want to move in. Minimum to break even is 18. · 14 people initiated last weekend (February 3, 2007). Brother Tingley and Glisson participated in the ceremony. · Sam, new initiated member of the house is currently living in the house without contract nor paying. Going to have an executive board meeting Wednesday the 12th to have a plan of action. Going to keep Alumni Chapter and Corporation informed. II. Financial Update – Zach (Vice President of Finance) · Currently there is no budget for the house · Goal was set forth to start a budget for the fall/spring of next year DUE 4/1 · Currently $30,000 in outstanding balances for the house · Going to start FAB (financial advisory board) back up since it has been inactive. (Goal to establish common consequences to hold brother accountable for not paying their bills). Once established, start to keep contact with parents in order to hold each brother accountable · Going to look into working with the university to have more control of each brother’s refund check. Checking into having the university pay the house payment before distributing the money to each member. III. Rush Update - Alex (Vice President of Recruitment) · For the most part, rush went well. Most houses got 10 guys. · 8 Signed Bid cards currently…Potential for 10. Pledge in is on Sunday February 11, 2007. Of the pledges, 2-3 are freshmen/sophomores, the remainder are Juniors · Established a rush committee to divvy out tasks. Thus far, working well. Most people on the committee are freshman/sophomores. · Going to get the remaining guys with bids over to the house this evening to get them to sign or not. · All of the guys are quality guys. Not looking at quantity · Before spring break, will get wochner letter to incoming freshman from alex and kevin IV. Alumni Weekend -Jacques (Alumni Relations) · Held April 27-29, 2007 · April 27th 5-7pm – Open house/ 7-9pm – Welcoming the alumni/ 9pm on – Gathering at the house/off to the bar · April 28th Lunch at the house/ Softball game/ auction to raise money/ gathering at the house – bar · April 29th breakfast at Cookies/ seeing the alumni off · Agenda for the weekend to by formally typed up and sent out by March 1, 2007 V. 35th Anniversary · April 24-26, 2009 · Going to set up a committee to work on the weekend. Brother Wochner volunteered to help set up the weekend. He is looking for an undergraduate (preferably a freshman or sophomore) to help him: Yoyo stepped up to be undergrad volunteer · Looking to get a room and a restaurant booked by this fall · Going to send out a notice to the alumni to obtain pictures/memorabilia to put together alumni gift · Get into contact with person who takes composite to obtain composites from all 35 years · Brother Miner obtaining a complete copy of the roll book for documentation VI. Undergraduate Desires · Going to set up summer work weekend as well as dates for Greek weekend. Brother Miner and Wochner explained the differences between the two and what to set up · Going to set up needs and wants for the work weekends · Alumni requested to be more informed of activities to boost moral as well as attendance · Alumni requested to be placed on the list serve for the chapter minutes · Undergraduates requested that Brother Ceko finish the website · Alumni requested an undergraduate liaison for the website to keep things updated · Undergraduates requested alumni come down to help boost activity within the house between brothers. Possible presentation of what it actually means to be a DU brother/how the house runs/etc VII. State of the Alumni Chapter · Explained the initiation of the paypal account and the use of funding · Going to keep setting up alumni/undergraduate related events in the Chicago land area (at minimum) · Requested that if the undergraduates have events outside of Macomb to keep alumni informed so that those in the area can attend if interested |
